How to Run Effective Virtual Meetings

Virtual meetings face many of the same issues as in-person meetings — however, they come with added distractions and technical hurdles. It is still possible to run an effective virtual conference by following a simple meeting protocol.

The importance of having an agenda is to running virtual meetings on time, and to keep the participants engaged throughout the session. You can also encourage participation by posing open-ended questions, requesting feedback and assigning roles to participants to take notes or document the next steps.

Test any hardware or software that you might require prior to presenting. Make sure you arrive early enough to resolve any technical issues that may arise prior to the scheduled start time.

You can’t read body language or emotions when you’re not able see the participants. Therefore, try to keep eye contact with everyone, or request people to do this. It’s important to have a quiet space with no distractions to pay full attention to the event and to turn off your microphone when you aren’t talking.

Ask for feedback at the end of a session, if you are moderator. This will help identify areas that need improvement and provide participants with an understanding of how their input is considered. In the last two minutes of a meeting it’s an excellent idea to present a brief summary of the next steps, and to record any action items assigned.
